PRE-PROGRAM MATERIALS

 

IDEAL AUDIO & VISUAL SET UP FOR ERIKA DIETZ PRESENTATION

The right room set-up and AV equipment will maximize the effectiveness of Erika’s presentation.  The following requirements are encouraged for optimal results.  If you must alter these guidelines in order to accommodate other aspects of the meeting, please discuss your situation with us before your event so that we can plan accordingly. We’re flexible and will work with you to produce the best program possible for your group.

Audio Visual Set-Up
• Wireless lavaliere microphone [clip-on style]
• LCD Projector with PowerPoint capability.  Erika will bring her own laptop with her program pre-loaded
• Sound system able to play computer audio tied to PowerPoint
• Projection screen(s) – Please place screen(s) off to the side of the stage, and facing into the middle
  of the room. At least one screen must  be devoted to Erika’s PowerPoint at all times during her
  presentation

Staging & Room Set-up
• The presentation will work best when Erika has close physical proximity with the audience. 
  There are several options for accomplishing this:
• If you're using a stage, please try to position the first row of seats within three feet of
  the stage, if possible.
• If seats can not be placed this close, consider using a 'T' shaped stage … a "runway"
  that extends out as far as the first row of the audience.
• If stage is higher than 12”, please provide steps in front of stage so that Erika can go
  out into the audience. [The ideal stage/riser height for audiences up to 200 people is
  6”-12”. For audiences of 200+ the stage/riser height should be 12”-24”].

• If a podium is being used for introductions, set it back a few feet from the front of the
  stage so that Erika can walk in front of it.
• A small, draped table in back center of stage where Erika can place her laptop. 
  Please provide water and a glass.
• Whenever possible, angle tables/chairs on the left and right sides of the room so that
  they are facing the center of the stage.

Lighting
• The stage and front of room should be flooded with light. House lights on 100% when
   possible. Erika needs to see the audience, and they need to see her face and body language.
• Please have the lights directly above the screen(s) turned OFF for better visibility. 
  This may require putting in a request in advance for venue staff to unscrew ceiling bulbs right
  above the screen(s).
• If using spotlights, they can be aimed toward the front center of the stage.

Temperature

Cool room = Alert

Warm room = Drowsy
Hot room = Irritable
Cold room = Distracted

The optimum room temperature should be about 68 degrees Fahrenheit before the audience and their collective body heat fill the room.

Recording
Audience members often request a copy of the presentation in order to reinforce key ideas or pick up important points they may have missed.  Making recordings available to your participants (whether for sale or as a gift) is a great way to maximize your investment in Erika’s program.  If you're interested in recording Erika’s presentation, please let us know in advance so that we can discuss the necessary licensing arrangements.
